What information we collect
We only collect what we need to arrange your pool hire.
When you send an enquiry: your name, email, phone number, due date, postcode, the products you're interested in, whether you're happy to be contacted on WhatsApp, your message, and who referred you (if you tell us).
When you book: your delivery and collection address, pool model, add-ons, hire dates, payment and deposit status, and any notes you give us about delivery or access.
When you message us: the content of emails, WhatsApp messages, Instagram messages and calls.
When you visit our website: technical information such as your device, browser, pages visited and how you found us, collected through cookies (see below).
Your due date: your due date tells us you are pregnant, which UK law treats as health information. We ask for it only so we can dispatch your pool at 37 weeks and collect it after your birth. We use it with your consent, which you give when you submit the enquiry form. We don't ask for any other health or medical details.
Why we use it and our legal basis
UK data protection law says we must have a lawful reason for each use of your information.
-
Replying to your enquiry and sending you a quote: taking steps at your request before a contract.
-
Arranging your hire, delivery, collection and payments: performing our contract with you.
-
Planning dispatch and collection around your due date: your explicit consent.
-
Keeping accounts and tax records: legal obligation.
-
Following up on an enquiry you haven't replied to yet: legitimate interests (making sure you have what you need to decide).
-
Measuring how well our website and adverts work: your consent, given through the cookie banner.
We only contact you about your enquiry or hire. We don't sell your information, and we don't add you to a mailing list without asking.
You can withdraw consent at any time by contacting us. If you withdraw consent for us to use your due date, we may not be able to complete your hire, because we need it to know when to send your pool.
Who we share it with
We share your information only with the services that help us run your hire, and only what each one needs.
-
DPD, for delivering and collecting pools outside our local area: name, address, phone number and email.
-
Wix, which hosts our website and enquiry form: everything you enter on the website.
-
Google, for our business email, website analytics and advertising: emails you send us, and website usage data if you accept cookies.
-
Supabase, which hosts our booking system: booking details, including your address and due date.
-
Meta (WhatsApp and Instagram), if you choose to contact us that way: your messages and contact details.
-
Our accountant, for preparing accounts and tax returns: booking and payment records.
We may also share information if the law requires it, for example with HMRC.
Transfers outside the UK: some of these providers, including Google, Wix, Meta and Supabase, may store or process information outside the UK. Where they do, they use safeguards approved under UK law, such as the UK International Data Transfer Agreement or the UK-US Data Bridge.
Cookies and website analytics
Cookies are small files saved on your device when you visit a website. We use two kinds:
-
Essential cookies, which make the website and enquiry form work. These are always on.
-
Analytics and advertising cookies from Google Analytics and Google Ads. These tell us which pages people visit and whether our adverts lead to enquiries. They only run if you accept them in the cookie banner.
You can change your choice at any time through the cookie settings link on our website, or by clearing cookies in your browser.
How long we keep it
- Enquiries that don't become a booking: 12 months from your last contact, then deleted.
- Booking and payment records: 6 years after the end of the financial year of your hire, as required for tax records.
- Messages and emails: kept with your enquiry or booking, and deleted on the same timescale.
- Website analytics: up to 14 months, in line with our Google Analytics settings.
If you'd like your information deleted sooner, contact us. We will delete anything we aren't legally required to keep.
How we keep it safe
Only our two directors can see your booking details. Our booking system needs a password to log in, and access is limited to named accounts. Our email and other services are protected with secure passwords. We don't keep printed copies of customer details beyond what goes in the box with your pool.
Your rights
You have the right to:
- See the information we hold about you
- Correct anything that's wrong or incomplete
- Delete your information, where we don't need to keep it by law
- Restrict or object to how we use it
- Receive a copy of your information in a format you can take elsewhere
- Withdraw consent at any time, where we rely on it
To use any of these rights, email hello@birthpoolhire.com. It's free, and we will reply within one month.
